The Custodial Property Summary (CPS) Report lists all items that are in police custody under a report number. A CPS will be generated if your department is using the Mark43 Evidence Module.
A CPS is generated when you submit a report containing property or evidence items for the first time. If a CPS already exists under a report number, additional items will be added to that CPS upon submission of a linked report containing custodial property or evidence items. Submitted items on the CPS will automatically start the chain of custody.
See What are the parts that make up a report? for information on the icons at the top of the CPS Report.
The Personnel card holds the name of the Primary Reporting Officer:
The Primary Reporting Officer is automatically assigned to the first user who enters a custodial property or evidence item under a report number.
Note that if a CPS is linked to a case in Mark43 RMS, it will also list the case's Assigned Investigator, Assigned Unit, and Assigned Supervisor(s), in addition to the Primary Reporting Officer:
Related Reports Card
The Related Reports card lists all linked reports that share the same report number. This is akin to the 'Case Records' section on all other reports.
The Remarks card contains all staff remarks applied to the overall CPS. It does not contain staff remarks for individual or groups of items.
The Property card lists all property and evidence items. You can view an item’s description, item type, originating report, current location, current status, date and time of the most recent chain of custody status update, item ID number, and any other identifiers associated with the item.
To view additional information about the item recovery, click the dropdown icon.
- Click EXPAND ALL to open all collapsible sections within the Property card.
To access the item's profile page, click the item description.
Click the edit icon at the top of the card to edit items on the CPS.
- If the CPS report is submitted, you will be prompted to take the report into draft prior to being able to edit the information on the Property card.
To edit an item, click the pencil icon after clicking the edit icon. Note: You will be unable to edit the Drop-off Facility field if the item does not have the Chain of Custody status of 'In Police Custody' or 'Check In - Temporary Location'.
To delete an item from the Property card, click the edit icon followed by the trash can icon associated with the item. Once a chain of custody is generated for an item, you cannot delete the item from the CPS unless you have the 'Delete Evidence Items' ability.
Selecting the checkbox next to one or more items will bring up an action toolbar at the bottom of the screen with the following options: Add To Basket, Print Label(s), Export, Update Disposition, and More.
- Click UPDATE DISPOSITION to open a menu with options to:
- request disposition
- release to owner
- Click MORE to open a menu with options to:
- add remarks
- split item
- reset retention policy
The Attachments card contains all attachments added directly to the CPS.
Report Status & Comments Card
Submitting a CPS will generate a Chain of Custody log for any new custodial property or evidence items. Unlike other report types, CPS Reports do not require supervisor approval. CPS reports that are automatically generated will be automatically submitted and approved too.
